**Process uses files found on shared drive at Technical Services\Customer Files\Office Depot\Inventory\Extra OD Inventory\Inventory Guide**
Office Depot Supply Chain / Retail - REX Inventory
NOTE: This process requires a count in the form of serial numbers for devices and quantity amounts for accessories. Inventory should be completed twice a month. An inventory for Office Depot's sealed devices should be done once per 3 to 4 months.
Using the Inventory Template
Using the “Office Depot Inventory Template v_” will provide everything that is needed to do a full count of all Office Depot devices and accessories.
There’re 4 sheets: “Inventory (Supply Chain)”, “Inventory (Retail)”, “Inventory (Retail Kits)” and “Inventory (Off Contract & Accs)”
Supply Chain
This sheet will have two areas: “Spare Pool Inventory (Supply Chain)” and “Awaiting Evaluation / Pending Staging Inventory (Supply Chain)”.
The “Spare Pool Inventory (Supply Chain)” side will be used to scan/copy paste serials from Office Depot's Spare Pool.
The “Awaiting Evaluation / Pending Staging Inventory (Supply Chain)” side will be used to scan/copy paste serials from Office Depot's awaiting evaluation and pending staging bins.
Retail
This sheet will have two areas: “Spare Pool Inventory (Retail)” and “Awaiting Evaluation / Pending Staging Inventory (Retail)”.
The “Spare Pool Inventory (Retail)” side will be used to scan/copy paste serials from Office Depot's Spare Pool.
The “Awaiting Evaluation / Pending Staging Inventory (Retail)” side will be used to scan/copy paste serials from Office Depot's awaiting evaluation and pending staging bins.
Off Contract & Accs
This sheet will have two main areas: “Off Contract (Supply Chain)” and “Off Contract (Retail)”. This sheet will also have two minor areas: "Supply Chain Accessory Total" and "Retail Accessory Total"
The “Off Contract (Supply Chain)” side will be used to scan/copy paste serials from Office Depot's off contract bin.
The “Off Contract (Retail)” side will be used to scan/copy paste serials from Office Depot's off contract bin.
The "Supply Chain Accessory Total" side will be used to type in the total quantity of each individual item.
The "Retail Accessory Total" side will be used to type in the total quantity of each individual item.
Preparation
For any device (Supply Chain or Retail), make sure to have all devices checked-in and updated in the REX system.
Make sure to have all items inside either the REX Lab or in the Storage Room.
Find the excel file in google drive: Strategic > Technical Services > Inventory > Office Depot Inventory “Office Depot Inventory Template v_”
Right click on the “Office Depot Inventory Template v_” file and select "Make a copy".
When the copy is created, rename the now named "Copy of Office Depot Inventory Template v_" file to “OD - INVENTORY _._._” <<< insert the date month/day/year.
Move the “OD - INVENTORY _._._” file to the OD Inventory folder. This can be done by simply dragging and dropping the “OD - INVENTORY _._._” file into the OD Inventory folder. Select "Move" when the "Change who has access" UI appears.
Open the “OD - INVENTORY _._._” file.
Allow some time for the sheet to fully load (may take up to 30 seconds)
Select the tab "REX (Office Depot)"
Select the white "Refresh" button in row 1. A message "Running script" will appear in the top middle of the sheet along with the Coefficient UI to the right of the sheet.
Select the the option "Yes, keep & refresh" on the UI to the right of the sheet. Wait for the file "REX (Office Depot)" to say "Refreshed just now" (the text will show in green underneath the file "REX (Office Depot)".
Close out of the Coefficient UI located at the top right hand corner.
Right Click on the "REX (Office Depot)" tab and select the "Hide sheet" option.
This will make the sheet hidden. There's no more need for this tab. All that should be visible within the google sheet now should be: “Inventory (Supply Chain)”, “Inventory (Retail)”, “Inventory (Retail Kits)” and “Inventory (Off Contract & Accs)”.
Inventory
There're only two locations where inventory is to take place; the REX Lab and the Storage Room.
SKUs from both the REX Lab and the Storage Room will need to be either captured via serial number scanned by the device's barcode and/or copied/pasted from a virtual location. Refer to "Device Serial Location" document to see a few examples of where to find a device's serial location.
In the Storage Room, all devices will be located on a rack labeled "Supply Chain" or "Retail".
Devices on the rack will be located in bins with the appropriate label indicating what model the device is. Using the “OD - INVENTORY _._._” document, find the appropriate tab and capture the serial information in the column that has the name "Serial Number".
In the Storage Room, there will also be a group of devices that will be located inside a box with a barcode in the front of the box. These units are considered "Sealed" and will also need to be captured. Refer to the "Sealed Inventory Example" file to see what a sealed boxes look like.
Capturing these units will require another website tab to be opened. Using a scanner, scan the barcode on the box (this will re-direct to a google sheet document that contains all of the devices within the box).
Copy and paste the device's serial number under the appropriate column within the “OD - INVENTORY _._._”. ***When Copying/Pasting, either use "CTRL + SHFT + V" or if highlighting serials, right click the area. Select "Paste Special" then select "Values Only".***
In the Storage Room, there will also be Office Depot accessories located in various bins and boxes. Accessories in the following bins and boxes will need to be counted:
Supply Chain Exoskeletons and Hand Straps
RS507 Batteries
RS5100 Batteries
Supply Chain TC51-52 Batteries
Supply Chain TC58 Batteries
Vinyl Holsters + Leather Holsters
Retail TC51 Batteries
Retail Chain Exoskeletons and Hand Straps
OD Supply Chain Verizon SIMs
OD Retail OD SD Cards
OD Supply Chain OD SD Cards
OD Supply Chain AT&T SIMs
In the Storage Room, there will also be Office Depot Retail Inventory Kits that will need to be captured.
Open another webpage tab and scan the QR code in front of the physical kit. This will redirect to a google sheet that has the information needed for that specific kit. There will be the following information:
Asset ID: **name of the physical kit** = Physical Kit Serial Number
TC51 Serial Numbers: = Device Serial Number
TC51 Cradle Serial Number: = Cradle Serial Number
In the REX Lab, all devices will be located in various bins. Devices in the following bins will need to be captured:
OD REX Awaiting Evaluation Supply Chain
OD REX Awaiting Evaluation Retail
Pending Staging Retail
Pending Staging Supply Chain
In the REX Lab, there will also be Office Depot accessories located in various bins. Accessories in the following bins will need to be captured:
OD-Retail Accessories
OD-Supply Chain Accessories
** Once all SKUs are captured, inventory is complete. Let the inventory auditor know. **
